Transaction search
This is where you find individual transactions: payments, authorisations, captures, voids and refunds across every customer in a division. Use it when you have a receipt number, a card ending, an amount or a checkout ID and need to see what happened, or to list everything that was declined, is still in progress or went through a particular gateway in a given period. Open a result to see the full transaction.
Where to find it
Open Transactions from the main menu.
Searching
The search bar, date range presets, filter badges and paging work the same on every search and list: see Searching and filtering. What is specific to this screen follows.
- Search box (Type to search...): each word you type is matched, on its own, against the transaction's receipt reference, checkout ID, card ending, gateway reference, and the error message recorded when it failed. These are partial matches: typing part of a receipt number is enough, and capitals do not matter. A word that is a number is also matched as an exact amount, so 10 finds transactions for 10.00, including refunds of 10.00. A row is shown when any word matches any of these details.
- Searching one detail only: put the detail's name and a colon in front of the term, for example amount:10, card_ending:1234, receipt:AB12CD, checkout_id:ORDER-99, error:expired or gateway_reference:XYZ. With the filters open, the links beneath the box (Amount, Card Ending, Receipt, Checkout ID, Error, Gateway Reference) insert the prefix for you.
- Reference keys: a transaction key (for example tr_1234_5678, or the same digits without the prefix) finds that one transaction. An account key (acc_...), contract key (co_...), payment method key (pm_...) or gateway key (gw_...) lists every transaction belonging to that account, contract, payment method or gateway. These are exact matches.
- Results update as you type. The matching text is highlighted in each result: the receipt, the checkout ID, the card ending and the amount.
- When the screen opens: the list shows your own division, transactions created in the Last 90 Days, all statuses, all actions and all gateways, newest first. The filters are collapsed, with the badge CREATED: LAST 90 DAYS above the search box showing the one filter in force.
Filters
Press the sliders button beside the search box (Show Advanced / Hide Advanced) to open or close the filter row. While it is closed, each filter in force is shown as a badge above the search box.
| Filter | What it matches |
|---|---|
| Division (list to the left of the search box) | Which division's transactions are searched. Shown only when you have access to more than one division; it starts on your own division, and only one division is searched at a time. |
| Created | The date the transaction was created, as whole days. The button reads All Time until you choose a range; the picker offers Today, Last 3 Days, Last 7 Days, Last 31 Days and Last 90 Days, or pick a start and end on the calendar. clear removes the range. Starts on Last 90 Days. |
| Settled | The date the gateway gave its final answer, as whole days, with the same choices as Created. No range is set to begin with. A transaction that has not settled yet has no settled date, so it is left out whenever a Settled range is set. |
| Status | All (no restriction); Approved: the money was approved, which also includes pending, unresolved and unattributed transactions; Declined: refused by the bank or gateway, never attempted because the payment method could not be used, or abandoned by the customer at the bank's verification step more than an hour ago; In Progress: still settling (pending or unresolved), or an online payment started in the last hour whose customer has not yet finished the bank's verification step; Unresolved: approved but the gateway's final answer is still being reconciled; Unattributed: approved but not yet matched to the contract it was paying. |
| Action | All, Payment, Authorise, Capture, Void or Refund: the kind of transaction. |
| Gateway | The gateway the transaction went through: All or one gateway by name. Shown only when your organisation has more than one gateway. Archived gateways are listed last and marked (archived). |
All filters apply together with the search box: a transaction must satisfy every filter and match at least one search word.
Reading the results
Each result is one transaction. The account card on the Account screen shows this same list, already narrowed to one customer (Account transactions). The statuses themselves are explained in Transaction header.
| Element | What it tells you |
|---|---|
| Customer | The customer's first and last name, or No Name in italics when neither is recorded, followed by a building icon and the company name where there is one. |
| Date | When the transaction was created (or, if that is not recorded, when it settled or was recorded), in your local time, for example Sep 10, 2026 14:05. |
| Reference | The receipt reference, after the date. |
| Refund badge | On a payment or capture that has had a refund taken against it: FULLY REFUNDED when nothing is left to refund, otherwise the amount refunded so far in a grey badge, for example 10.00 REFUNDED. Refund transactions themselves do not carry it. |
| Capture badge | On an authorisation, in grey: FULLY CAPTURED once the whole reserved amount has been taken; the amount captured so far, for example 10.00 CAPTURED; or VOIDED if the reservation was released instead. |
| OPEN | An amber badge on an authorisation that still has money reserved and can still be captured. It disappears once the authorisation is captured, voided, declined or expires (unless the gateway allows several captures against one authorisation). |
| Contract line | What the transaction was paying, beneath the date: the checkout ID (left out when it was generated automatically), then the contract's description or, failing that, its initiative when it is not the general one, then for a recurring contract the amount per period and the number of payments (for example 10.00 / month x 12), or for an instalment plan the amount and the number of instalments. The whole line is left out for a plain one-off payment with nothing to add. |
| Source icon | On the right, for payments and authorisations only: how the payment came in. A laptop for a payment the customer made online, a smartphone for one made in an app, a handset for one a member of staff entered over the phone, a calendar for one taken automatically on schedule, a receipt for one taken at a point of sale, and an outward link for one imported from another system. |
| Action badge | A grey badge on everything except a plain payment: AUTH, CAPTURE, VOID or REFUND. |
| Amount | The transaction amount in its currency. Refunds are shown as negative amounts. |
| Outcome | After the amount: a green tick when the transaction was approved; a red cross when it was declined, not attempted, or abandoned at the bank's verification step; otherwise a badge: PENDING (blue), UNRESOLVED or UNATTRIBUTED (amber). |
| Reason line | In red beneath a red cross: the decline message from the gateway; Card Expired. or No Payment Method when the payment could not be attempted; or 3DS not completed when the customer did not finish the bank's verification step. |
| Payment method | The card or bank account used, for example the card type and its last four digits. A heart icon means a saved payment method was used; a card icon means the details were entered for this transaction only. Hidden on narrow screens. |
- Results are ordered newest first by the date the transaction was created.
- Ten results are shown per page. When there is more than one page, the controls beneath the list show Showing with a choice of 10, 20, 50 or 100 per page, the total number of matches (of N), Previous, Next and up to seven page numbers. There is no count above the list; the total appears only in those page controls.
- When nothing matches, the list is replaced by No Results. If the search itself fails you see Sorry! We encountered an error with a try again link.
- Rows are highlighted as you move through them with the keyboard (see below).
What you can do
| Control | What it does |
|---|---|
| Result row | Opens the Transaction screen for that transaction. You can also move the highlight with the Up and Down arrow keys and press Enter to open the highlighted row. |
| Sliders button (Show Advanced / Hide Advanced) | Opens or closes the filter row. Closing it keeps the filters in force. |
| Filter badges | Each filter in force is shown as a badge above the search box while the filter row is closed; use its × (clear) to remove that one filter without opening the row. |
| clear (beside a date range) | Removes that date range so the search covers All Time. |
| Division list | Switches the search to another division you can access. |
| show all | Shown instead of results when the list has not been loaded yet (see below). Runs the search with the current filters. |
| Page controls | Previous, Next and the page numbers move through the results; Showing changes how many are on a page. |
Things to note
- You see this screen only if your role grants transaction access in at least one division; otherwise the menu entry takes you elsewhere. The division list offers only the divisions your role covers, and archived divisions are left out.
- Only one division is searched at a time. To search another, change the division list.
- The Last 90 Days default hides older transactions. Clear the CREATED badge (or open the filters and press clear) to search all time, or pick a range that covers the date you need.
- Status is All by default, so declined and abandoned transactions are included in the list; use the outcome tick, cross and badges to tell them apart.
- Searching by amount matches the exact amount, not a range, and finds both the payment and any refund of the same value.
- Card ending, receipt, checkout ID and error searches match anywhere in the text, so a common fragment can return a lot of rows; add a Created range or a status to narrow it.
- For a small number of very large divisions the list does not load on its own: the screen shows Enter search criteria or show all until you type a search, change a filter or press show all.
- Your search, filters and page are kept in the page's address, so refreshing the page, using the browser's back button or sharing the link brings back the same results.
- Refunding, capturing, voiding or re-attributing a transaction is done on the Transaction screen, not here.
