Payment method screen sections
The cards that make up the Payment method screen: the method itself, and where it is being used. The account header, comments and the audit history appear on this screen too and are described with the Account sections and in Sections on every screen.
Payment method details
This section describes one saved payment method: what it is, whether it can still be charged, who holds it on your behalf, and the details of the card or bank account behind it. It answers "can this customer still be charged on this method, and is it the right one?" before you take a payment, chase a failure or retire a card.
Where it appears
At the top of the Payment method screen, directly beneath the account header. The header line and the Processed By card are always present; the card, ACH, SEPA or other-method card that follows depends on the kind of payment method you are looking at, so you only ever see one of them.
What it shows
The header line
- Name — a short description of the method next to a card icon. For a card this is the card type and its last four digits, with the expiry month where one is held (for example "Visa ending 4242, exp. 03/27"); for a bank account it is the account description. Card numbers are never shown in full.
- Reference — the payment method's reference, in smaller text beneath the name. Quote it when raising a query about this method.
- Status badge — whether the method can still be charged:
- ACTIVE (green) — in use and chargeable.
- FAILING (red) — still attached to contracts, but recent attempts on it have been declined. This is the one to look at when a customer's payments have stopped arriving.
- FAILED and EXPIRED (grey) — no longer chargeable; a contract still using it needs a new payment method.
- ARCHIVE (grey) — retired by a member of staff; it cannot be charged and cannot be brought back.
- SINGLEUSE (grey) — used for one payment and never saved against the account, so there is nothing to reuse.
- INACTIVE (grey) — not available for charging.
- A spinner in place of the name means the method is still loading.
Card Information (cards)
Shown for a card, and open by default. The issuer, product and funding lines are looked up from the card number after the card opens, so they appear a moment later than the rest and are simply absent when nothing is known about that card range.
- Source — how the card was captured: an icon, the channel and who entered it: Ecommerce / Customer entered, MOTO / Staff entered, POS / Card present, or Scheduler / System initiated. Not shown when the source was not recorded.
- Cardholder Name — the name on the card, as captured.
- Billing Address — the address given with the card, on one line, followed by the country's flag and two-letter code when a country was recorded.
- Card — the same card type and last four digits as the header.
- Issuer — the bank that issued the card, with the flag and code of the country it was issued in. Useful when a customer's bank is blocking payments, or a card turns out to be foreign-issued.
- Product — the card product, with its segment in brackets where known (for example a consumer or commercial product).
- Funding — how the card is funded, such as Credit, Debit or Prepaid.
ACH Information (US bank accounts)
- Account — the account description, next to a bank icon.
- Account Holder — the name the account is held in.
- Billing Address — as for cards, with a flag and country code when known.
- Source — how the account details were captured, as for cards.
- Mandate Reference — the reference of the customer's authorisation to debit the account, with a copy button and, when the provider offers one, a View link to the mandate itself.
- Mandate Link — shown instead when there is a mandate to view but no reference to quote.
SEPA Information (European bank accounts)
- Account — the scheme's logo and the account's last four digits ("ending 1234").
- Cardholder Name — the name the account is held in.
- Billing Address — as above.
- Mandate Reference and Mandate Link — as for ACH.
Payment Method Information (any other kind, such as a Direct Debit mandate)
- Account — the method's description, next to a wallet icon.
- Source — how it was captured, as for cards.
- Account Holder and Billing Address — as above.
- Mandate Reference and Mandate Link — as for ACH.
- Status — the same badge as the header, repeated here.
- Sub-status — a second badge for methods that go through a setting-up period at the provider, with the provider's reason alongside it where one was given. Amber means it is still pending or failing, red that it was cancelled, failed or expired, green that it is active. It is only shown when it tells you something the main status does not; a mandate that is simply active has no sub-status line.
Processed By
Who holds this payment method for you. The card header names the processor and, where it applies, the processor account; the body gives:
- Processor — the payment processor the method is stored with.
- Account — the name of your account at that processor, with its identifier in smaller text and a copy button.
- Gateway ID — the processor's own identifier for this stored method, with a copy button. This is what the processor will ask for if you raise a query with them.
- Advance Notice — shown only for methods that need it: "Payments will be sent to the gateway N hours before they are due". Bank-based methods often need this lead time, so a payment can leave your side earlier than the date the customer sees.
- Saved — when the method was stored against the account. Not shown for a single-use method, which was never saved.
- Last Used — when it was last charged. Blank if it has never been used.
Dates are shown in your local time.
What you can do

Things to note
- Only one of the four information cards is ever shown, matching the kind of method. A card whose number range and expiry are both unknown has no Card Information card at all; the header still shows what is known.
- Archive is not offered for a method that is already ARCHIVE, INACTIVE or SINGLEUSE — there is nothing left to retire.
- What archiving does to the contracts still using the method is described on the archive function's page; a contract's payment method is changed from the Contract screen.
- The issuer, product and funding lines describe the card range, not this particular customer; two customers with cards from the same range will show the same values.
- The transactions and contracts that use this method, and its comments and audit history, are separate cards further down the Payment method screen.
Where a payment method is used
Two cards on the Payment method screen, Scheduled Payments and Transactions, show everything that depends on a saved card or bank account: the contracts that will collect from it in future, and the payments that have already been taken with it. Together they answer "if this card fails or is retired, what is affected, and what has it been charged for so far?"
Where it appears
On the Payment method screen, beneath the card holder and provider details. Scheduled Payments is shown only when your organisation uses scheduled or recurring payments, and never for a single-use method (one the customer chose not to save), because such a method is never attached to a contract. Transactions is always shown, so the payment a single-use method took remains reachable from here.
What it shows
Each card is collapsed to a header line carrying its name and a count. Open a card by clicking its header. Both lists are the same lists as on the Account screen, already narrowed to this payment method instead of to one customer, so the rows read exactly as described in Account contracts and Account transactions; only what differs is described here.
Scheduled Payments
Lists the contracts that are still in progress on this method: active, pending, suspended, failing, being cancelled, or unresolved. Contracts that have already completed, been cancelled or failed are not listed, even if they once collected from this method, and neither is a contract whose setup was never finished.

Transactions
Lists every transaction taken with this method, whatever its outcome: payments, authorisations, captures, refunds and voids, successful or declined. Newest first, with no date limit.

What you can do

| Search box (Type to search...) | Narrows the list as you type. Each word is looked for separately and a row matches if any word matches any of the searched details (listed per list below). A reference key pasted in finds that record exactly: co_ followed by digits for a contract, tr_ for a transaction, acc_ for everything on an account, pm_ for a payment method and gw_ for a gateway. Typing a detail's name and a colon, for example receipt:, limits that word to that one detail. Search terms and filters both apply: a row must match the search and every active filter. |
| Filter toggle (sliders icon, Show Advanced / Hide Advanced) | Opens or closes the filter panel above the search box. Closing it keeps the filters active and shows them as badges. |

The search box and filters are shared across the app's search screens; Searching and filtering describes them in full. The filters offered by each list are:
Scheduled Payments filters
The search box matches a contract's Amount (a whole amount typed as a number, for example 25 or 25.00, matched exactly), Checkout ID and Description (either matched on any part of the text). It does not match the customer's name. All filters start at their widest setting, so opening the card shows every in-progress contract on the method.

Transactions filters
The search box matches a transaction's Amount (a number, matched exactly, so 10 finds both a £10.00 payment and a £10.00 refund), Card Ending (the last digits of the card), Receipt, Checkout ID, Error (the decline message) and Gateway Reference, the text ones on any part of the text. It does not match the customer's name. No date range is applied to begin with; the list covers the method's whole history.

Filters combine: a transaction or contract must satisfy every filter that is set, and the search box on top of that.
Things to note
- Both lists span the whole organisation, not only the division you are working in, so every use of the method is shown. There is no division or channel filter here.
- Scheduled Payments is limited to contracts still in progress. Choosing Completed in its Status filter, or setting a Completed date, finds nothing here; use the Contract search to see finished contracts.
- The Transactions card is not limited by date; it shows the method's full history. On the Transaction search screen a default date range applies, so the two can show different counts for the same method.
- The search box and filters only appear once a method has more than six contracts or transactions. Narrowing the list below six with a search does not hide them again.
- A failing contract's reason and arrears are explained in more detail on the Contract screen. Moving a contract to a different card or account is also done from there, not from this section.
- Retiring the method itself is done with Archive in the header of the Payment method screen. Any contract still listed under Scheduled Payments will need a new payment method once it is archived.
- These cards do not show the method's own details or who holds it; those are in the sections above them on the same screen.
