Account search

This is where you find the people and companies on file. Type a name, contact detail, tag, address or reference and the list narrows as you type; open a result to see the full account. Use it whenever you need to get to a customer's record, check whether someone is already on file before creating them, or see at a glance what their most recent transaction was.

Open Accounts from the main menu.

Searching

The search bar, date range presets, filter badges and paging work the same on every search and list: see Searching and filtering. What is specific to this screen follows.

  • Search box (Type to search...): each word you type is matched against the account's First Name, Last Name, Company Name, Email, Phone, Tag, Full Address and CRM Key. Matching is on partial text and ignores case, so smi finds Smith and @example.com finds every address at that domain. When you type more than one word, every word must be found (in any of those details), so john smith narrows to accounts that contain both.
  • To restrict a word to one detail, prefix it: firstname:, lastname:, companyname:, email:, phone:, tag:, fulladdress: or crmkeyfull:, for example phone:0207 or lastname:smith. With the advanced panel open, the First Name, Last Name, Company Name, Email, Phone, Tag, Full Address and CRM Key links under the search box insert the matching prefix for you.
  • An account reference typed on its own (two groups of digits joined by an underscore, with or without its acc_ prefix) is treated as an exact reference and opens straight to that account in the list.
  • The search runs as you type; there is no button to press.
  • Default state: the screen opens with no search text and no date filters (both set to All Time), the division set to your own, and the list already showing every account in that division, most recently updated first. The advanced filters are hidden unless one of them is already set.

Filters

Filters run left to right across the top of the screen. All of them apply together with the search text: a result must satisfy every filter and every search word.

Division (drop-down before the search box)The division the account belongs to. Only one division is searched at a time. It starts on your own division and lists only the divisions you have account access to; if you have access to just one, the drop-down is not shown.
Show Advanced / Hide Advanced (sliders button after the search box)Not a filter itself: opens and closes the panel holding the two date filters below and the field-prefix links.
CreatedAccounts created within the chosen dates. Shows All Time until you set it; click All Time to choose Today, Last 3 Days, Last 7 Days, Last 31 Days or Last 90 Days, or pick your own start and end dates on the calendar. The range covers whole days, from the start of the first day to the end of the last. clear removes it. Only shown in the advanced panel.
Last TransactionsAccounts whose most recent transaction falls within the chosen dates, with the same choices as Created. Only shown in the advanced panel.

When the advanced panel is closed, any date filter that is set stays visible as a grey badge above the search box, for example CREATED: Mar 23 - Apr 2, with a × to remove it.

Reading the results

Each result is one account, with the account's own details on the left and its most recent transaction on the right. Wherever a detail matched your search, the matching text is highlighted.

ElementWhat it tells you
NameThe customer's first and last name. If neither is recorded, the account's name is shown instead; if there is no name at all you see No Name in italics. This is the same name you will see at the top of the account, see Account header.
CompanyAfter the name, separated by a dot, when the account has a company recorded. Left out when the company is simply the same as the name already shown.
CRM KeyThe account's reference code, at the start of the second line.
Email and PhoneFollow the reference on the second line, separated by dots. Either is left out if it is not recorded.
Tag badgesOne grey badge per tag on the account, in capitals, at the end of the second line. No badges means the account has no tags.
Address lineThe account's full address, preceded by the flag of its country. If the country is not recorded as a two-letter code, a map-pin icon is shown instead. The line is left out when there is no address.
Transaction source iconHow the most recent transaction came in: a laptop for the customer's own online checkout, a smartphone for a payment made in an app, a telephone for a card taken over the phone by an operator, a calendar for a recurring or scheduled payment, a receipt for a point-of-sale payment, and an external-link arrow for an imported payment. A capture shows a circled tick, a void a circled cross and a refund a curved arrow.
Action badgeA grey badge naming the transaction when it is not a straightforward payment: Auth, Capture, REFUND or VOID. Payments show no badge.
AmountThe transaction amount in its currency.
Transaction outcomeA green tick means the transaction was approved. A red cross means it was declined, or could not be attempted because the payment method was bad. Anything else shows a badge: PENDING (blue) is still being processed, UNRESOLVED and UNATTRIBUTED (amber) need attention, ABANDONED (red) was left part-way through authentication.
Time agoUnder the amount: how long ago the transaction was processed, for example "3 days ago".
Initiative lineFolder icon and the initiative the transaction was made to. Only shown when your organisation has more than one initiative and the transaction was not to the General one.
Red lineThe reason the payment processor gave for a declined transaction, in red under the transaction details. Only appears when the most recent transaction was declined.

The whole right-hand side is empty when the account has never had a transaction.

  • Results are sorted with the most recently updated account first. The sort cannot be changed.
  • 10 results are shown per page. When there is more than one page the pager appears under the list: Showing 10, 20, 50 or 100 per page, the total (of 1,234), Previous, the page numbers and Next. Changing the page size takes you back to page 1.
  • While the search is running a loading indicator replaces the list. If nothing matches you see No Results.
  • If the search fails you see Sorry! We encountered an error with a try again link that repeats the same search.

What you can do

Result rowClick anywhere on a result to open the full account. When you come back to the search, your results, filters and page are restored.
Filter badgesEach date filter set while the advanced panel is closed shows as a badge above the search box; use its × to remove that one filter without opening the panel.
clearNext to an open date filter: removes it and returns it to All Time.
Division drop-downSwitches the search to another division you have access to and reruns it.
PagerPrevious, Next and the page numbers move between pages; Showing changes how many results are on a page.
Create AccountTo the right of the search box: starts a new account record on the New Person screen. Shown only when account editing is enabled for your organisation and you have permission to create accounts.
show allIn some divisions the list does not load until you ask for it; the screen says Enter search criteria or show all. Type a search, or click show all to list every account in the division.

Things to note

  • You only see accounts in the divisions you have account access to, and only one division at a time. Archived divisions are not offered. The screen itself is only available to users with account access to at least one division; other users are sent to their home screen instead.
  • Search words are matched inside the recorded text, so a common fragment such as an will match a great many accounts; add a second word or use a prefix such as lastname: to narrow it.
  • A search word cannot contain a space. To find a two-word name, type both words separately (mary jane), or use a prefix on each (firstname:mary lastname:jane).
  • The right-hand side shows only the account's most recent transaction, so a green tick does not mean every payment succeeded. Open the account to see its full history.
  • Your search, filters and page are kept in the page address, so refreshing the page, using the browser's back button, or sharing the link brings back the same search.
