Transaction

This screen shows a single payment in full: who paid, how it was processed, its status, and its activity and history. It’s the hub from which you refund or capture the payment.

Open a transaction from the transaction search results, or follow a link from an account, contract, or payment method.

Control What it does
Refund Refund the payment, in full or in part. See Refund a transaction. Rules: Refund a payment.
Capture Take a previously authorised payment. See Capture a transaction. Rules: Capture an authorised payment.
Void Cancel an authorisation so the reserved funds are released, confirmed in a pop-up. Rules: Void an authorisation.
Attribute On a payment that arrived without being matched to an account, assign it so it shows against the right account. Rules: Attribute an unattributed payment.
Mark as Declined / Mark as Approved On a payment whose outcome is unresolved, record the final result by hand. Rules: Mark an unresolved payment approved or declined.
View payment / View authorisation On a refund, capture or void, open the original payment or authorisation it relates to.
Undo Refund On an offline refund only, reverse the refund record. No money moves. Rules: Undo an offline refund.
View in gateway Opens the transaction at the payment processor in a new tab, where the processor offers it.

  • Refund, Capture and Void appear only when the transaction is in a state that allows them, only if you have payment permission, and only when the feature is enabled for your organisation.
  • Undo Refund appears only on a refund that was recorded offline, never on one that went through a gateway. An offline refund is only a record that the customer was refunded by some other route, so undoing it removes that record — it does not move money and does not take anything back from the customer. Once undone, the original payment counts as unrefunded again, so if the money really should go back you can then use Refund to send a genuine refund through the gateway. If the payment has since been refunded by something else, the undo is refused and nothing changes.
  • Opening a one-off contract from a transaction shows it in this checkout context.
  • The arrows above the transaction (or the left and right keys) step through the other transactions from your last search.
  • For payment methods that need advance notice (such as BACS, SEPA and ACH), the payment is sent to the gateway before the date it is meant to hit. When that happens the header shows a Created / Target / Resolved date line: Target is the intended payment date, explaining why the transaction was created earlier than it settled. Other payment methods do not show this line.
